We collect information you provide directly to us when you create an account, use our services, or communicate with us. This includes:

• Account Information: Name, email address, phone number, and role within your organisation.
• Organisation Data: Chapter details, meeting records, financial transactions, and member lists that you enter into the platform.
• Usage Data: Log files, device information, browser type, pages visited, and timestamps to help us improve the service.
• Communications: Messages or support requests you send us.

We use the information we collect to:

• Provide, maintain, and improve Circle Ledger.
• Process transactions and send related notifications.
• Send administrative messages, security alerts, and support responses.
• Monitor usage patterns to detect and prevent fraud or abuse.
• Comply with legal obligations.

We do not sell your personal data to third parties.

We may share your information only in these limited circumstances:

• Within your organisation: Chapter administrators and designated role-holders can see member data they are authorised to access under RBAC rules.
• Service providers: Trusted vendors who help us operate the platform (hosting, email delivery, analytics) under strict data-processing agreements.
• Legal requirements: When required by applicable law, court order, or governmental authority.

We implement industry-standard safeguards including AES-256 encryption at rest, TLS 1.3 in transit, and role-based access controls. Our infrastructure is hosted on SOC 2 Type II certified cloud providers. Despite these measures, no transmission over the Internet is 100% secure; please safeguard your credentials.

We retain your personal data for as long as your account is active or as needed to provide services. On account deletion we remove personally identifiable information within 30 days, except where retention is required by law.

Depending on your jurisdiction you may have the right to:

• Access and receive a copy of the personal data we hold about you.
• Correct inaccurate data.
• Request deletion of your data.
• Restrict or object to certain processing.
• Data portability.
